2024-2025 Eatontown Schools PTA  LEADERSHIP TEAM SELF NOMINATIONS 
The Eatontown PTA Nominating Committee is accepting nominations for the following Executive and Standing Chair positions for the 2024-2025 school year. We welcome all nominations and strive to create a diverse and balanced executive board and committee members. We want every parent to have a voice in our PTA and to be given the chance to become actively involved in enriching the educational experience at our schools.  

We encourage you to read through the responsibilities of each role to learn more. Each of these roles plays a vital role in shaping the programs for the 2024-2025 year. Please nominate yourself for all of the positions you are interested in.*  We will be in touch after the nomination process with next steps on seat appointment or voting.

PRESIDENT:
  • Prepare, along with the Treasurer and Board Members, the ESPTA proposed budget.
  • Call meetings to order on time and proceed with business.
  • Have a copy of the current ESPTA Bylaws and Standing Rules on hand at every meeting.
  • Always maintain a fair and impartial position; vote only when voting by ballot. In other cases, the President may vote to break a tie. The President's vote is not reflected by voice or hand, it is just included in the count.
  • File his/her signature at the bank at which the ESPTA funds are deposited and sign all checks with the Treasurer.
  • Coordinate the work of officers and committees so that the goals of the ESPTA are realized.
  • Approved all district-wide communication approved by the principal prior to distribution to the membership.
  • Represent the ESPTA at all district or state functions when invited or assign an alternate.
  • Share the National PTA and NJPTA mailings and other information with the ESPTA.
  • Notify the NJPTA of any change in officers' information during the year.
  • Comply with all NJPTA reporting requirements.
  • Sign all contracts for the ESPTA as President.
  • Ensure that the Treasurer is performing all the required duties of her/his position, including all necessary Federal, State and NJPTA filings.
VICE PRESIDENT: (one per school):
  • Act in capacity of an aide to the President.
  • Preside at all meetings when President is unable to attend.
  • Prepare calendar for school specific events. Get approved by principal, then President.
  • A vote by the Board members will elect a Vice President to represent the President, in the event the President is unable to fulfill the duties of his/her position. The designated VP shall assume all duties for the remainder of the President's term as dictated by the ESPTA bylaws, or until the President resumes his/her duties or until election take place.
  • Communicates with principal and committee chairs, then report to the President. Report to the Treasurer with upcoming months' events, including any calendar changes.
  • Manage school specific communication, after approved by Principal.
TREASURER:
  • Prepare, along with the Board Members, the ESPTA proposed budget.
  • Maintain all financial records of the ESPTA; This includes keeping an accurate and current check Register which must be reconciled to the bank statement monthly.
  • Prepare and present a treasurer's report at every ESPTA general membership meeting. The report should run from meeting date to meeting date and include all transactions during that period.
  • Deposit all money in the bank within two business days.
  • Pay all bills when they are presented for payment. Have paper receipts to back up all checks that are written.
  • Remit dues to NJPTA by the 15th of each month, starting October 15th.
  • Keep close track of expenditures to make sure that money is being spent according to the budget.
  • At the end of the ESPTA fiscal year, prepare the Federal and NJ State filings. The forms are the IRA 990N or IRS 990EZ and either the CRI-200 or CRI- 300.
  • iFile the ESPTA Annual Report with the State of New Jersey.
  • Prepare authorizations as required by the bank so the succeeding Treasurer can access funds without delay.
  • Maintain ESPTA file, update it as needed, and promptly hand it over to the incoming Treasurer with all the financial records at the end of his/her term.
SECRETARY:
  • Record the minutes at each ESPTA meeting.
  • Copy and distribute the minutes at each meeting.
  • Reach out to the Vice President of each school for committee reports, at least 3 days prior to meetings.
  • Prepare meeting agenda.
  • Maintain an orderly file of the minutes and agenda of the ESPTA.
CHAIR OF BYLAWS:
  • Review and maintain bylaws and standing rules when required by the NJPTA.
CHAIR OF MEMBERSHIP:
  • Responsible for management of ESPTA membership data, dues, and dissemination of information to members of ESPTA.
CHAIR OF MARKETING & COMMUNICATIONS:
  • Responsible for maintaining brand guidelines of the ETSPTA.
  • Responsible for the communication strategy of the ESPTA.
CHAIR OF FUNDRAISING:
  • Directs the board fundraising planning and activities, and directs and leads the fundraising committees.
  • Provides leadership to ensure the ESPTA achieves it's goals and objectives supporting the accomplishment of fundraising strategies.
