J.F. Cooper PTA Officer Application/Nomination Form - Due on April 9, 2024
The following positions are up for election for the 2024-2025 and 2025-2026 term (2 years):

We are seeking candidates who are focused on serving the Cooper Community with a common goal. All of the roles rely on a sense of responsibility, dependability, a positive attitude, a sense of organization, the ability to work well with a team, and excellent communication skills.

NJ PTA training and guidance will be provided for each role. See the JF Cooper PTA Bylaws and J.F. Cooper PTA Standing Rules for more details about role expectations/requirements. 

The NJ PTA Local PTA Resources Hub also provides information to members so they can understand the process of how candidates are selected and guidelines for specific roles

The nominee must be a PTA Member.

All nominees must confirm interest in the role before a slate of candidates is selected. 

Members of the Nominating Committee will review applications and have confidential deliberations to select 1 candidate for each role based on their qualifications. The committee must communicate to membership if they cannot find a qualified candidate for any role. 

**NJ PTA allows Nominating Committee members to run for positions themselves. However, they are not to participate during discussions for role(s) in which they are interested. This is why we have an alternate committee member. For example, if Member 1 runs for secretary, Members 2-4 would deliberate in private.**

If you are not selected and are still interested in running for a position, you can submit your intent to run from the floor 20 days prior to the election. In this case, a ballot will then be created.

All elected officers are responsible for ensuring that the Local PTA Standard of Affiliations are adhered to in order to keep this PTA in good standing with New Jersey PTA, the IRS, and the State of New Jersey.

President - 2 year term - Description of Role
  • Prepares written agendas and presides at all general membership and monthly board meetings.

  • Meets with the principal monthly regarding details about upcoming events, activities, and ways the PTA can support the school.

  • Attends monthly Cherry Hill Zone PTA meetings with Presidents of Cherry Hill Public Schools

  • Schedules all PTA activities with the board and principal for the school year in June/July

  • Leads committees/chairs by keeping them on schedule and explaining PTA guidelines and best practices for success

  • Partners with VP of Events and VP of Ways and Means for events and fundraising activities

  • Coordinates and plans assemblies for the school

  • Works with all board members to help meet their goals and required duties

  • Communicates with membership throughout the year

  • Creates/updates flyers or requests them from chairs for monthly communications to families

  • Ensures our Local PTA meets all requirements of the Local PTA Standards of Affiliation

  • Studies all references to duties and finances in the PTA bylaws, policies and standing rules

  • Ensures all members and dues are reported to New Jersey PTA monthly

  • Signs all contracts which have been approved by the board.

  • Is an authorized signer on the bank account.

  • Fosters an environment of open communication among all board members.

  • Appoints a Financial Review committee at least 30 days before the last association meeting of the year. Appointments are subject to the approval of the board.

  • Represents Local PTA as a delegate to Council PTA, if applicable.

  • Serves as an ex-officio member of all committees, except the Nominating and Financial Review committees.

Treasurer - 2 year term - Description of Role
  • Attends all general membership and monthly board meetings.

  • Studies all references to duties and finances in the PTA bylaws, policies, and standing rules.

  • Ensures our Local PTA meets all requirements of the Local PTA Standards of Affiliation

  • Keeps an accurate and detailed account of all monies received and disbursed.

  • Ensures all cash funds are counted by multiple individuals and documented with a Deposit Form.     

  • Keeps on permanent file the PTA Employer Identification Number (EIN), as assigned by the IRS, and the PTA ST-5 form, as assigned by the New Jersey Division of Taxation. 

  • Presents a financial report (Treasurer's Report) of all accounts at all Association and board meetings. View Sample Financial Reports.

  • Makes timely deposits to the PTA bank account.

  • Reconciles monthly bank statements as soon as received from the assigned reviewer.

  • Makes disbursements following the budget, as adopted by the association membership, and verify each transaction is accompanied by a Check Request and necessary documentation.

  • Files the appropriate Form 990 by November 15th electronically after the end of the fiscal year. 

  • Maintains a list of assets owned by the PTA 

  • Submits all required items to the Financial Review Committee on time.

  • Ensures that the Financial Review Committee report is completed and submitted by 8/31 of each year.

  • Reconciles the checkbook to the bank statement (monthly)

  • Reconciles any credit card or merchant accounts to the bank statement (monthly)

  • Generates financial reports for board and/or association meetings (monthly)

  • Proposes any budget amendments as needed (monthly)

  • Deposits and expend funds as needed and record in accounting software/ledger (monthly)

  • Records state/national dues in escrow (monthly)

  • Coordinates with membership chair to add members into MemberHub and pay dues (monthly as needed)
